How to Check Out
If you are planning to officially leave WKU housing (anytime during the year, at the end of the fall semester, or before summer break), please follow these instructions to officially check out of your residence hall:
Step 1: Complete the "Intent to Vacate" Form
- Visit the WKU Housing Portal: www.wku.edu/housing/portal
- Select "forms" from the sub-menu
- Complete the "Intent to Vacate" form
Please complete the Intent to Vacate form at least 1-2 business days before checking out of the residence hall.
A staff member will contact you with additional information about your checkout options: Express Checkout OR In-Person Checkout:
Express checkout allows students the option to checkout of their residence hall room at their convenience, when they are ready, without a staff member present.
The student acknowledges that it is their responsibility to remove ALL personal belongings and trash according to the checkout procedures. The university is not responsible for any personal belongings left behind.
The room and any shared bathroom/areas must be left clean and in good condition, with all furnishings in their original places to avoid assessment of additional charges. Failure to do so will result in an unofficial checkout charge of $150.
The student understands that their room and shared bathroom/areas (if applicable) will be inspected for any change in condition and/or discrepancies from their original room inspection. The student may be charged IF the inspection results in a need for cleaning and/or repairs to damages.
The student understands by choosing Express Checkout that they are waiving their right to appeal any damage/cleaning charges that are assessed on their student account.
A staff member will accompany you to assess the condition of items in your room. The room and shared bathroom/areas (if applicable) will be inspected for any change in condition and/or discrepancies from their original room inspection. You must be present for the inspection.
You will return the key to the staff member at that time.
By choosing in-person checkout, the student retains the right to appeal any assessed damages.
In person checkouts are only available during university business hours, Monday-Friday, 8am-4:30pm. Please contact your hall director to schedule an in person checkout.
Step 2: Prepare Your Room
Unplug and defrost your fridge. Make sure you have plenty of time to do so, and use a towel to collect any excess water that drains.
Remove all trash from your room. Take large items to the designated dumpster near your hall. Do not leave trash in the building. Clean out the trash can.
Remove ALL personal belongings from your room.
Unbunk your beds and return the furniture to the original arrangement. Return the bunking pins to the desk, if applicable.
Sweep the room. Mop the floor, if necessary. Brooms and mops are available for checkout at the front desk.
Close and lock windows.
Depending on what thermostat is in your room, set the thermostat to 65 degrees and the fan to auto - or - halfway in the blue section, fan on medium.
Turn off the lights.
Step 3: Check Out
Officially check out by either completing the express checkout envelope or meeting a staff member.
Your key must be returned at the time of checkout to avoid an additional charge.
