Adding Exchange Email
Instructions for adding a WKU Employee account to an Android device.

Issue/Question

How do I add my WKU Exchange account to my Android phone/tablet?

Environment

  • Android Mobile Devices

Resolution

Note: Student workers and departmental/generic Exchange accounts do not have the ability to add their account to mobile devices through this method. The account can be added using IMAP settings.

  1. Open the Application Launcher.
  2. Select Email.
  3. Enter your full email address (e.g. big.red@wku.edu) and your NetID password, then select Manual Setup.
  4. Enter the following:
    • Domain: ad
    • Username: Your NetID (e.g. bgr01906)
    • Note: Some Android email apps may consolidate Domain and Username as Domain\Username (e.g. ad\bgr01906)
    • Password: Your NetID password
    • Server: email.wku.edu
  5. Ensure Use secure connection (SSL) is checked.
  6. Ensure Accept all SSL certificates is not checked. Tap Next.
  7. Select OK when prompted about Remote security administration.
  8. Name the account as desired.
  9. Select Activate at the device administration prompt to complete the setup.

 Note: Adding the account this way will enable the passcode unlock feature, if not already in use. This enhances the security of the phone and cannot be disabled, unless the account is removed. Alternatively, if only email access is needed, the account can be added via IMAP settings.

Adding TopperMail Account
Instructions for students, alumni, and affiliates to add their TopperMail accounts to an Android device.

Issue/Question

How do I add my TopperMail account to my Android phone / tablet?

Environment

  • Android Mobile Devices

Resolution

  1. Open the Application Launcher.
  2. Select Email.
  3. Enter your full email address (e.g. big.red123@topper.wku.edu) and your TopperMail password.
  4. Your Android device should then automatically configure your account. If it does not, when it fails to connect, select Manual Setup and continue below.
  5. Enter the following:
    • Domain: outlook.office365.com
    • Username: Your full email address (e.g. big.red123@topper.wku.edu)
    • Note: Some Android email apps may consolidate Domain and Username as Domain\Username (e.g. outlook.office365.com\big.red123@topper.wku.edu)
    • Password: Your TopperMail password
    • Server: outlook.office365.com
  6. Ensure Use secure connection (SSL) and Accept all SSL certificates are checked. Tap Next.
  7. Select OK when prompted about Remote security administration.
  8. Name the account as desired.
  9. Select Activate at the device administration prompt to complete the setup.

 Note: If your email will not add, and you get an error message that your account cannot verify, please reset your password here. Please reset the password even if you are able to login to your email directly through a web browser. WKU IT has found that some accounts get the cannot verify error and the current fix is to reset the password. If you have reset the password and followed the above steps please contact the IT Helpdesk.

Adding TopperMail Account to Outlook App
Instructions for adding a TopperMail account through the Outlook for Android app.

How do I setup my TopperMail account?

Environment

  • Android Devices

Resolution

 Note: This method makes your TopperMail email, contacts, and calendar accessible in one app. If you prefer to have those items accessible in their dedicated apps, you can follow the steps to add your account through your phone's native email app or through the GMail app.

  1. Install the Microsoft Outlook for Android app.
  2. Tap OPEN.
  3. Tap GET STARTED.
  4. Enter your full email address (e.g. big.red123@topper.wku.edu).
  5. Tap CONTINUE .
  6. Enter your TopperMail password.
  7. Tap Sign in.
  8. Tap SKIP when prompted to add another account.
  9. Swipe through the tutorial.
  10. Tap to access your account.

Adding TopperMail to LG Devices
Instructions for adding your TopperMail account to an LG Android phone.

Issue/Question

How do I add my TopperMail account to my LG device?

Cause

LG uses a default e-mail application that is different from the one included with most Android 6.0 Marshmallow operating systems.  As such, adding a TopperMail account to these devices require different steps from the typical Android setup method.

Resolution

  1. Open the Email app on the home screen.  If it is not located there, check under Application Launcher.
  2. Select Other.
  3. Enter your Toppermail address and password.
  4. If your account is not automatically added, tap Next.
  5. Tap Manual Setup.
  6. Tap IMAP4, then click Next.
  7. In the IMAP4 server field, enter the following: pod51008.outlook.com.
  8. Security type should be SSL, and Port Number should read 993 (these settings should be automatic).
  9. Username will be your Toppermail address, and Password will be your Toppermail password.
  10. Tap Next.
  11. In the SMTP server field, enter the following: pod51008.outlook.com.
  12. Security type should be TLS, and Port Number should read 587 (these settings should be automatic).
  13. Username will be your Toppermail address, and Password will be your Toppermail password.
  14. Tap Next.
  15. Name the account as desired.
  16. Tap DONE.

Connecting to WKU-SECURE
Information on joining WKU-SECURE on Android devices.

Issue/Question

How do I register my Android device for internet access so I do not have to login when I am on campus?

Resolution

Note: Once joined to WKU-SECURE, your device will automatically connect whenever you are on WKU's campus for the next 90 days. At the end of that period you have to delete WKU-SECURE and re-join the network for another 90-day period.

  1. Access your Apps list.
  2. Tap the Settings app.
  3. Tap Wi-Fi.
  4. Tap WKU-SECURE.
  5. Enter the following information:
    • EAP method: PEAP
    • Phase 2 authentication: None
    • CA certificate: Do no validate
    • Identity: your NetID
    • Anonymous identity: leave blank
    • Password: your NetID password
  6. Tap Connect.

Adding Exchange Email
Instructions for adding a WKU Exchange Account (Faculty/Staff email) to an iOS device.

Issue/Question

How do I add my Exchange account to my iPhone / iPad?

Environment

  • iOS

Resolution

 Note: Student workers and departmental/generic Exchange accounts do not have the ability to add their account to mobile devices, by default. Please contact the IT Helpdesk to request this feature be enabled.

From your iOS device, you can download this file and enter your Employee email address, domain (ad\) and NetID, and your NetID password when prompted. To manually add the account, follow the steps below.

  1. Tap Settings.
  2. Tap Mail.
  3. Tap Accounts.
  4. Tap Add Account.
  5. Tap Exchange.
  6. Enter in:
    1. Email: Full email address (e.g. big.red@wku.edu)
    2. Password: NetID password
    3. Description: Whatever you would like to describe it as
  7. Tap Next.
  8. Enter in:
    1. Server: email.wku.edu
    2. Domain: ad
    3. Username: NetID
    4. Password: NetID Password
  9. Tap Next.
  10. Tap what you would like to sync to the device.
  11. Tap Save.
  12. If messages/events do not start loading, restart the device to force the account to start syncing.
     Note: It will take a few moments to sync all emails to the Mail app.

Adding TopperMail Account
Instructions for adding a TopperMail account to an iPhone or iPad.

Issue/Question

How do I access my TopperMail account on my iPhone, iPod, or iPad?

Environment

  • iOS mobile devices

Resolution

From your iOS device, you can download this file and enter your TopperMail address and password when prompted. To manually add the account, follow the steps below.

  1. From the main menu / home screen, tap  Settings.
  2. Tap Mail.
  3. Tap Add Account....
  4. Tap Microsoft Exchange.
  5. Enter the following information:
    • Email: Your full TopperMail address (e.g. big.red001@topper.wku.edu)
    • Server: outlook.office365.com
    • Domain: leave blank
    • Username: Your full TopperMail address (e.g. big.red001@topper.wku.edu)
    • Password: Your TopperMail password
       Note: If your email will not add, and you get an error message that your account cannot verify, please reset your password here. Please reset the password even if you are able to login to your email directly through a web browser. WKU IT has found that some accounts get the cannot verify error and the current fix is to reset the password. If you have reset the password and followed the above steps please contact the IT Helpdesk.
  6. Select which features you would like to sync with your device and tap Save.

 

TSS Consultants Only

If the account is not able to be added with the Exchange option above, the account can be added with IMAP settings.

  1. Explain that an IMAP connection will limit access to just email; contacts, calendars, etc. will not sync with the device.
  2. Reference the related article IMAP Settings for manually adding the account.

If full functionality is desired, enter a ticket using the template Software and Enterprise Systems > TopperMail > Question, Problem, or Email Client Settings and escalate to Routing Group - Enterprise Systems.

Connecting to WKU-SECURE
Instructions for connecting an iOS device to the WKU-SECURE wireless network.

Issue/Question

How do I register my phone/tablet/laptop for internet access so I do not have to login when I am on campus?

Environment

  • iOS

Resolution

From your iOS device, you can download this file and enter your NetID and password when prompted. To manually join, follow the steps below.

  1. Tap the Settings app.
  2. Tap WiFi.
  3. Tap WKU-SECURE.
  4. Enter your NetID and password.
  5. Tap Join.
  6. Tap Accept for the security certificate.
  7. If it does not happen automatically, open your web browser and direct it to a non-WKU page. You will be redirected to accept WKU-SECURE's terms of agreement.

Software & Programs / Office 365

Installing Microsoft Office 365 (Android)
Instructions for current Faculty/Staff/Students on installing Office 365 for free on their personal Android device.

Issue/Question

How do I get Microsoft Office for free?

Environment

  • Android
    • Office 365

Cause

Office 365 Pro Plus includes Word, Excel, PowerPoint, and other titles depending on platform. Under this program, current Faculty, Staff and Students may install the software on up to five devices/computers.

These are mobile applications, not web or cloud apps. The software will remain active and usable for as long as you are current Faculty, Staff, or Student.  Based on Microsoft’s licensing requirements, it's not offered to past students who have graduated or leave WKU.

Resolution

  1. Tap the Play Store.
  2. Tap the Search bar.
  3. Search for Office 365.
  4. Tap Microsoft Office Mobile.
  5. Tap Install.
  6. Tap Accept for Use Terms.
  7. Tap Open.
  8. If you are a faculty/staff member that has already set up a Microsoft account or are a student please skip to step 15.
  9. Tap Create an Account.
  10. Fill out Create a Microsoft Account Page info being certain to use your WKU email address.
  11. Tap Create an account.
  12. Enter the verification code that was sent to your WKU email.
  13. Tap Next.
  14. Decide whether to link Office to your Dropbox and then press the forward arrow. Setup is now complete. You do not need to continue on to the next steps.
  15. If you already have a Microsoft account or are a student tap Sign in.
  16. Type in your WKU email address.
  17. Tap Next.
  18. Tap Work account.
  19. Tap the text box and type in your WKU email address.
  20. Enter the password you used to setup your Microsoft account or your Toppermail password if you are a student.
  21. If prompted by an additional security measure type in your WKU email address.
  22. Type in the security code that was sent to your WKU email account.
  23. Tap Next.
  24. Choose whether to connect your Office Mobile to Dropbox.
  25. Tap the arrow button.

Installing Microsoft Office 365 (iOS)

Resolution

 Note: Faculty and Staff members that have not installed Office 365 on a personally owned computer and/or have not registered for the software must complete the following before installing the software on an iOS device:

  1. Go to the Eligibility Site.
  2. Click the Teachers tab.
  3. Click Get Started for Free.
  4. Enter your WKU email address.
  5. Click Sign up.
  6. Check your WKU email.
  7. Click the Complete Office 365 Education signup link.
  8. Create a Microsoft Account by filling out the One Last Thing page.
  9. Click Start.

iPad Instructions

  1. Tap the App Store.
  2. Tap Search.
  3. Search for Word.
  4. Tap the Microsoft Program that you want (Word, Excel, PowerPoint).
  5. Tap Free.
  6. Tap Install.
  7. If prompted type in your Apple ID password and click OK.
  8. Tap Open.
  9. Swipe to the left to get through the pictures.
  10. Tap Sign In.
  11. If you're a faculty/staff member that hasn't installed it on a Mac/PC, you will need to click the Create an Account button.
  12. Tap the text box and type in your WKU email address.
  13. Tap Next.
  14. Choose the Organizational account.
  15. Enter your WKU email address and password that you just created for your Microsoft account. This may be different than your NetID password.
  16. Tap Sign in.
  17. Tap Continue.
  18. Tap the Start Using (Word, Excel, or PowerPoint) button.

iPhone Instructions

  1. Tap the App Store.
  2. Tap Search.
  3. Search for Office 365.
  4. Tap the app you wish to download.
  5. Tap Get.
  6. Tap Install.
  7. If prompted type in your Apple ID password and click OK.
  8. Tap Open.
  9. Swipe to the left to get through the pictures.
  10. Tap Sign In.
  11. Tap the text box and type in your WKU email address.
  12. Tap Next.
  13. Choose the Work account.
  14. Enter your WKU email address and password that you just created for your Microsoft account. This may be different than your NetID password.
  15. Tap Sign in.
  16. Tap the Create and Edit Documents button.

Instructions for setting up the Cisco VPN on an Android device for the first time.

I need to install the Cisco AnyConnect VPN device on my Android device.

Environment

Resolution

 Note: You must be approved by WKU IT Security in order to use the Cisco VPN. If you have not requested access yet, please follow these instructions.

  1. Go to the Play Store.
  2. Search Cisco AnyConnect.
  3. Tap AnyConnect by Cisco Systems, Inc.
  4. Tap Install.
  5. Tap Accept.
  6. Open Cisco AnyConnect app.
  7. Tap OK when asked to agree.
  8. Tap Connection.
  9. Tap Add VPN Connection....
  10. Type in the following information:
    • Description:  VPN
    • Server address: wkuvpn.wku.edu
  11. Tap Done.
  12. Follow these instructions on how to use the Cisco AnyConnect VPN.

    • Server address: wkuvpn.wku.edu
  9. Tap Save.
  10. Follow these instructions on how to use the Cisco AnyConnect VPN.

  3. Type in the following information:
    • Username: Your NetID
    • Password: Your NetID password
    • Second Password: This is the password obtained from your Duo Mobile App on your cell phone.
  4. Tap Connect.

Smartphone Purchasing

WKU employees should reference the Cellular Allowance Policy regarding smartphone purchasing and stipends.

WKU employees and students can receive discounts from service providers on devices and plans. See the IT Cellular page for more information.

iPad Purchasing

iPads can be purchased from the WKU Store at a discounted price, either with personal funds or with university funds if approved by your department.
