Facilities Request

Welcome to WKU in Glasgow–the home of the Hilltopppers and land of Big Red! We are delighted that you would like to hold your event on our beautiful campus. We want you to know that we will do everything we can to make sure you and your guests have a wonderful experience.

Before we get too far into the process, we must let you know that our campus is open Monday through Friday only from 6:00 a.m. to 9:00 p.m. The campus is normally closed Saturday, Sundays and all holidays. Additional charges may apply for room rentals on weekends.

In order for us to adequately consider your request, here are a few suggestions to aid you with your submission.

  • Complete all sections of the WKU in Glasgow Event Request Form & Use Agreement.
  • Be sure to include any furniture and room arrangement needs, as well as any special equipment or accommodations.

It is important to note that events on the WKU in Glasgow campus are not scheduled until requests are received, reviewed, and approved by a WKU in Glasgow administrator. Once you receive confirmation of approval, the event is scheduled in the calendar.

Note: Please allow a minimum of five (5) business days for the review process.

Non-profit groups include campus organizations, civic groups, governments entities and other not-for-profit community organizations. For these groups the use of campus classrooms and the community room is normally provided without cost or a minimal fee to cover expenses encountered by using the facility, such as additional staffing and cleaning. Such decisions are made at the time the application is submitted.

For-profit groups include companies, businesses, corporations, private and public individuals and other for-profit entities as determined by campus administration. The standard pricing for the community room or each classroom is $45 per hour with a three-hour minimum. This pricing includes tables and chairs. If available, other equipment and audio-visual accessories may be provided at no additional charge.

Use Agreement

Western Kentucky University agrees to provide a classroom for use by the client hereinafter referred to as “User” for the dates and times as stated in the forthcoming confirmation email.


Terms & Conditions

For and in consideration of the use of the classroom, User agrees to the following:

  1. To pay the agreed upon sum per day/hour for use of said classroom, said sum to be paid no later than ten (10) days prior to the date of use or first day of use;

  2. To maintain classroom and/or premises in its current condition, reasonable wear and tear accepted, and to be responsible for the repair and/or restoration of same caused by the User or User’s invitees;

  3. To forever hold harmless and indemnify WESTERN KENTUCKY UNIVERSITY; and,

  4. From any and all charges imposed for violation of any law or ordinances while utilizing the premises; and further agrees that User shall at all times protect, indemnify, save, and keep harmless WESTERN KENTUCKY UNIVERSITY against and from any and all loss, cost damage, liability, or expense arising from or out of, or by reason of any accident or other occurrences to anyone, including User, its agents, employees, and business invitees, which arises from, or out of, or by reason of User’s occupancy and use of the facilities or a part thereof.
