| AUTOMATED MAIL PROCESS
STEP #1
1. When requesting labels, make sure that you tell administrative computing that you want the labels automated. You must request automated labels. You can also email your database or send it by floppy disk. (It must be in txt., excel, access, or dbf) 2. The Postal Services needs a sample of the mailing. (10 pieces) 3. STEP #2
The database files are processed through the Desktop Mailer Software. The postal service enters the information provided by the departments into the DTM. This software puts the barcode file into the mailing and also verifies the mailing address with the USPS national address files. The DTM also sorts the mailing into it prospective bundles and trays. STEP #3
1. The department will be supplied with the automated labels and container labels from the Postal Services Department. 2. The automated labels will be sorted in numerical bundle order. There will be a number located on the second line on the right side of the label. This number is the bundle number, all of the same numbers must be kept together. 3. The postal service will provide the department with the mail sorting list documentation that will outline how the mailing is to be sorted. This list will tell you how many trays and packages you will have, if the tray will have loose pieces or bundled packages and what packages go in what tray. 4. Once the mailing is completed, either we will pick up the mailing
in your designated mail drop or you can bring it directly to us.
