Office Associate

DESCRIPTION OF WORK

Under administrative supervision by the Chief of Police, a person assigned to this position performs a variety of secretarial and clerical duties for the Chief and Major. Competent work processing and or computer skills necessary in typing diversified correspondence, reports, and forms. File, copy, handle mail, responsible for receiving and disbursing funds, limited budget duties, deal with the public, handle telephones/faxes, schedule appointments, responsible for maintaining files and retrieval of information from files, assist in assembling data for important reports or lists or schedules, compose short correspondence, responsible for some proofreading/editing and for maintaining office supplies, handle some confidential material.


EXAMPLES OF WORK

  • Types letters, memos and the operations manual.
  • Prepares and types requisitions, travel vouchers and other university forms.
  • Monitors departmental payroll and personnel records to include overtime records, time
    cards, and absentee records.
  • Sets up and maintains office files.
  • Prepares and types transmittals for income from decals sold, tickets paid, and
    departmental invoices.
  • Maintains budgetary records for departmental accounts.
  • Sorts and distributes mail.
  • Responsible for keeping personnel information updated through various lists.
  • Schedules appointments.
  • Maintains office supplies.
  • Performs related duties as required.
 


MINIMUM QUALIFICATIONS

Education: High school diploma or equivalent.

Training: Completion of a program of instruction in secretarial science at an accredited business college may be substituted for experience on a year for year basis.

Skills: Typing - 60wpm. Must be proficient in English, spelling, and grammar. Competent computer skills preferred, basic knowledge of proofreading/editing skills. Ability to operate a variety of office machines. Should be able to perform routine bookkeeping procedures.


Experience: Two years of experience in secretarial and clerical duties.
