What needs to be done to establish a new faculty member as an advisor?

Someone (usually the office associate) can call or send e-mail requesting that a faculty member be enabled in the Banner student system as an advisor. So long as Human Resources has entered the faculty member in Banner (usually done when the person is hired), Academic Advising and Retention Center will activate the person as an advisor. Students can then be assigned to this advisor.

When an advisor leaves the University, how do the advisor’s students get reassigned?

Each semester Academic Advising and Retention Center sends a list of students assigned to each advisor within an academic department to the Department Head. The Department Head is asked to reassign students assigned to an advisor who is leaving to a different advisor. Sometimes a Department Head may elect to reassign all students from one advisor who is leaving to a new faculty member.

How can I know whether a student I advise is on academic probation?

Academic standing is recorded at the end of each term. Use TOPNET to view General Student Information that includes academic standing. Each semester Academic Advising and Retention Center sends a list of students assigned to each advisor within an academic department to the Department Head. This list includes the most recent academic standing for each student.

How do I know about a student’s transfer work?

When a student transfers to Western, the Office of Admissions transfers work from official transcripts. New transfer students and their advisors receive transfer student worksheets before the students’ first Orientation-Advisement-Registration (O-A-R). If the student or advisor needs a transfer student worksheet later, it may be requested from the Office of the Registrar.

I need to obtain a copy of a student’s high school transcript. Where can I get it?

The Office of the Registrar maintains the folders of all currently enrolled students. A student’s folder may include the application for admission, academic documents and correspondence related to the student’s enrollment.

One of my students was academically dismissed from school. What does the student need to do to return to Western?

Academic dismissal requires that the student remain out of school for one full semester. The student should apply for readmission through the Office of Admissions. Admissions requirements at the time of application will determine whether the student is readmitted and any conditions of readmission.
