Policies for Visiting Scholars Residences at 501 and 513 Regents, Cottage 2 and Cottage 3 at 1594 Normal

Purpose:

The Visiting Scholar Residences are intended to facilitate bringing scholars in all fields to WKU and to enable WKU faculty to participate in exchanges with international universities.   American and international scholars will find the Visiting Scholar Residences to be comfortable “homes away from home.”  The intended length of stay is one week to six months.

Provisions:

1.      Housing at the VSRs includes utilities, furniture, bed and bath linens, kitchenware, telephone, and cable television but does not include maid service or food.

2.      The Visiting Scholars Residences are not intended for use by students, new faculty or staff, or applicants on campus for employment interviews.

3.      No pets are allowed.

4.      Smoking is not permitted in any part of the Visiting Scholar Residences, but is allowed on the porches and patios.

5.      Departments or units which are hosting visiting scholars are responsible for the standard $50 cleaning/changeover cost and any damages or unpaid fees that may result from the visit. 

6.      Housing fees are $350 per bedroom monthly ($12 daily) for 513 Regents and the Cottages at 1594 Normal, and $325 per bedroom ($11 daily) for 501 Regents.   The minimum charge is $100 plus a $50 cleaning fee for any visit.  Exchange visitors are not charged rental fees but are subject to cleaning/changeover fees.

Priorities for use of the Visiting Scholars Residences:

1.      Visitors who are here by themselves have priority over visitors who are here with dependents.  Dependents will be housed in the Visiting Scholars Residences only when no other demand for the housing is scheduled or anticipated.   The minimum age for dependents is 12 years.

2.      Exchange visitors have priority over one-way visitors.  The university gets the greatest benefit when it not only receives international scholars but also provides opportunities for our faculty to go abroad for research, study, teaching, or other scholarly activity.  Exchange visitors are those who provide accommodations for our faculty comparable to those we provide for them. 

3.      Special circumstances which do not conform to the intended use of the Visiting Scholar Residences can be considered only when no other demand for the housing is scheduled or anticipated.

FREQUENTLY ASKED QUESTIONS

Q:  Are the Visiting Scholar Residences only for international visitors?

No.  American or international visiting scholars may use the VSRs, but the majority of the visitors have been international.

Q:  What is the maximum time that visiting scholars can live in the Visiting Scholar Residences?

Six months.  Visiting scholars who plan to be at WKU longer than six months can stay in the VSRs when they first arrive and are getting oriented to Bowling Green.  Then their host department should help them find a suitable apartment to rent. 

Q:  What is the minimum stay at the VSRs?

A lease is not required at the VSRs, so scholars can move out at their convenience.  However the VSRs are not intended as a substitute for hotels for brief stays.  The minimum charge is $100 plus a fee for cleaning.

Q:  What is cost of the VSRs?

The house at 513 Regents and the Cottages at 1594 Normal are $350/month or $12/day per bedroom.  The house at 501 Regents is $325/month or $10/day per bedroom.  There is an additional cleaning and make-ready fee of $50.

Q:  Can the VSRs be provided without charge?

For the stay in the VSR to be without charge, you need to show that your program or your department or WKU has an agreement with the other university whereby Western will receive an approximately equal benefit in exchange for providing housing to the other university's scholar.  The scholar exchange doesn't have to be simultaneous, but it should be fairly close in time.  It doesn't have to be "symmetrical" but it has to be "balanced."  That means we don't have to receive two months accommodation for one scholar in order to provide two months for one scholar.  We might have a team of four scholars who receive two weeks accommodation from the other school.  The WKU host department will still be charged the cleaning fee for the visitor to WKU.

Q:  Can the families of visiting scholars live with them in the VSRs

The VSRs are intended for use by individual scholars visiting WKU.  In certain circumstances, but only when space is available, housing can be provided for families.

Q:  Are the Visiting Scholar Residences private?

Each bedroom is private, has an individual lock, and in most cases is furnished for one person.  Five of the bedrooms can accommodate two persons.  At each house, the bedrooms share living room, kitchen, dining room, and bath rooms.  501 Regents is reserved for women, 513 Regents is reserved for men, and the Cottages can be used for either depending on demand.

Q:  What if I want to see inside a Residence before making arrangements?

Contact the Resident Assistant, Ben Brewster on his cell phone at 502-548-8558.  He lives at the VSR at 513 Regents.  His job is to assist our visitors in adjusting to arrangements and procedures at WKU and to assist host departments with the logistics of checking in and out of the VSRs.

Send an e-mail to larry.caillouet@wku.edu with the pertinent information, including name, gender, date of arrival, and date of departure.  Then print the Departmental Agreement form from the VSR website, fill it out, and deliver it or campus mail it to Larry Caillouet, Department of Communication, FAC 102.
